We are looking for an administrative assistant to join our team. The role would suit a confident and well-presented individual with the capability to work in a fast-paced corporate environment, who is able to handle a high work load on top of a variety of different tasks. The successful candidate will be responsible for assisting others in providing a high quality and discrete professional service to clients and will also provide excellent back office support and help to maintain a great office culture.

Working week: 37.5 hours between 8.30 am – 5.00pm Monday to Friday
Vacancy full description: To learn how to carry out clerical and business administration duties including:
Opening, sorting and distributing incoming post and DX
Collating and sending outgoing post and DX
Photocopying, scanning and collating letters and documents, including binding documents
Departmental filing on a regular basis
Monitoring stationery levels and to reorder as and when required
Assisting departments with their day to day administrative tasks, including (but not limited to) audio typing, copy typing, basic document production and file management
Entering data onto the system for deeds, wills and files held
Providing cover for reception and carrying out the associated tasks and responsibilities, including (but not limited to) answering the telephone and taking messages, dealing with clients face to face, arranging meetings and appointments, diary management and arranging travel
Any other tasks required
Skills required: Attention to detail, logical thinking with good listening skills and ability to take, and act upon, instruction. Confident to ask questions for further direction if required. Good IT awareness. Understanding of attention to detail requirements. Awareness of General Data Protection Regulation (GDPR).
Personal qualities: IT competent in Microsoft Office (Word, Excel, Outlook), well presented with good personal hygiene, friendly and approachable.
Qualifications required: GCSE Grade A-C in Maths and English (or equivalent) preferred but not essential as training provided to acquire qualification during apprenticeship.
Future prospects: Full time employment. Progression.
Reality check: The business is located on three floors and travel between each floor is facilitated by a staircase. There is no lift for access. You may often be working with confidential information therefore discretion and professionalism is expected at all times.
Important Information: Apprenticeships are open to any applicant aged 16 years plus. If you are aged 25 years and older, you may qualify for support with Universal Credit due to working 30 hours per week and on a low income. This may also attract support with housing benefit and council tax benefit. Please ask your local Job Centre Plus office for advice.
